The overview

A strong event gallery covers five things: the room and branding before guests arrive, arrivals and networking, speakers and stage moments, sponsors and VIPs, and candid emotion. A shot list agreed in advance keeps the must-haves from being missed.

Most clients need two deliveries: a quick set of 20–50 highlights within 24 hours for social media and press, and the full edited gallery within 3–7 days.

Photography and video together cost less than hiring separately and look like one story, because the crews share lighting plans and timing.

FOR PRODUCERS & CREW

Technical deep dive.

Specs, settings, standards and current tools. Facts that change are dated and sourced.

Camera and lenses
  • Two bodies to avoid lens changes: 24–70 mm f/2.8 for rooms and groups, 70–200 mm f/2.8 for stage and candids; a fast prime (35 or 50 mm f/1.4–1.8) for low light.
  • Silent electronic shutter during speeches and performances; watch for banding under LED walls and stage lights (use mechanical shutter or match shutter speed to the lighting frequency).
  • Shoot RAW plus JPEG when same-day highlights are needed; dual card slots set to backup.
Light
  • Bounce flash off ceilings and walls for soft, natural light; use a flash modifier or gel to match warm room lighting.
  • Off-camera strobes (for example, Godox AD600 Pro) for group photos, award moments and portrait stations; set ratios before guests arrive.
  • Stage lighting is often mixed color: set custom white balance from a gray card at the lectern during rehearsal.
Editing and delivery
  • AI-assisted culling and consistent preset-based editing cut turnaround from days to hours; a human still picks the final set.
  • Deliver web-sized JPEGs (2048 px long edge, sRGB) and full-resolution files; embed copyright and contact metadata (IPTC).
  • Content Credentials (C2PA) are supported in-camera on recent Sony, Leica and Canon models and displayed by Google, YouTube, LinkedIn and others; useful when authenticity matters for press or government clients.
PLANNING CHECKLIST

Before the shoot or show.

  • Shot list with names and photos of VIPs, sponsors and speakers
  • Schedule with award moments and group photo times
  • Photo release language on registration and signage at entrances
  • Opt-out method for guests who do not want to be photographed
  • Delivery format and deadline for highlights and full gallery
CLIENT FAQS

Questions we hear most.

When will we get our photos?

Highlights within 24 hours and the full edited gallery within 3–7 days, depending on event length.

Can we use the photos for marketing?

Yes, your license covers your organization’s marketing and press. Guests who appear prominently in ads should sign a release; signage covers general event coverage in most cases.

Do you edit every photo?

Every delivered photo is color-corrected and cropped. Detailed retouching is available for headshots and hero images.

When is golden hour for outdoor portraits in summer?

Roughly the last hour before sunset. Around the longest days, Columbus sunsets land a little after 9 pm and Atlanta’s a little before, so we plan group photos about 8 pm.

Atlanta pollen is everywhere in spring. Does it affect photos?

It can coat lenses and dark clothing yellow. We clean glass between setups, keep a lint roller for guests and frame against clean backgrounds.

Can you photograph a homecoming or tailgate event?

Yes, from HBCU homecomings to alumni tailgates. We work fast and candid, cover the step shows, food and family moments, and deliver a same-week gallery so your social posts land while the event is still trending.
